How the day breaks down

Your Birthday, by moment.

Every birthday breaks down into the same handful of moments — here’s what’s typically booked for each one.

  1. Arrival

Guests show up. The room needs to already feel like something's happening.

    • DJ
    • Event lighting
    • Bartender

Typical coverage: the first 30–60 minutes

  2. The Party

Music, drinks, conversation — the bulk of the night.

    • DJ
    • Bartender
    • Photographer

    Typical coverage: 2–4 hours

  3. The Moment

Cake, toasts, the birthday person's actual spotlight.

    • MC / Event Host
    • DJ
    • Photographer

    Typical coverage: 15–30 minutes

  4. Late Night

The part where people who almost left an hour ago are still there.

    • Photo Booth
    • Specialty entertainment

Typical coverage: the last hour or two

Who does what at a birthday party?

Most birthday parties book from the same short list. Here's what each role actually does, what's usually included, and what to ask before you book.

Party DJ

Best for: Music, energy, keeping the dance floor moving

A DJ sets the pace for the night more than any other booking — reading the room, adjusting the playlist, and deciding when to bring the energy up or let it settle.

Often includes

  • Sound for the room
  • Basic dance-floor lighting
  • A wireless microphone

Ask about

  • Overtime rates
  • Whether they'll take song requests
  • Backup equipment
  • Whether they MC as well

Typical planning range

$500 – $900

Bartender

Best for: Bar service so you're not the one making drinks

What you're booking is a person to work the bar, not the alcohol or glassware in most cases. Getting the staffing ratio right is what keeps people out of a line all night.

Often includes

  • Service for the booked shift
  • Basic bar tools
  • Setup and breakdown time

Ask about

  • Whether alcohol and mixers are yours to supply
  • Staffing ratio for your guest count
  • Responsible-service certification

Typical planning range

$250 – $450

Browse bartenders

Photo Booth

Best for: A guest activity that produces something to keep

Open-air backdrops and enclosed booths each take a different amount of floor space — worth checking against your room before you book.

Often includes

  • An attendant for the full booking
  • Props and a backdrop
  • Digital gallery

Ask about

  • Whether prints are unlimited
  • Floor space required
  • Power and setup window

Typical planning range

$400 – $700

Magician

Best for: Close-up entertainment that works a room

A strolling magician moves between small groups during the party rather than needing a stage — it fills the part of the night where people are still warming up to each other.

Often includes

  • Strolling close-up sets
  • No setup or sound required

Ask about

  • Set length vs. guest count
  • Whether material fits your crowd

Typical planning range

$350 – $700

Browse magicians

Photographer

Best for: Real photos, not just phone pics from the night

A short booking — two to three hours around the main event — is usually enough for a birthday. Settle delivery timing at booking rather than after.

Often includes

  • Event coverage for the booked window
  • Edited digital gallery
  • Personal-use licence

Ask about

  • Delivery date
  • Low-light plan if it's an evening party

Typical planning range

$300 – $600

Browse photographers

MC / Host

Best for: Toasts, the cake moment, keeping timing tight

Most DJs will handle toasts and the cake moment as part of the booking. A dedicated host is the right add when you want someone running that moment specifically, or when there's no DJ booked at all.

Often includes

  • Toasts and the cake moment
  • Timeline coordination

Ask about

  • Whether they coordinate directly with your DJ
  • Overtime if the party runs long

Typical planning range

$300 – $600

Pricing depends on guest count, hours booked and how many bookings you're combining. These ranges are useful for early planning, but the price shown on a Vynue profile is the better number to use once you're actually comparing providers.

Why This Is Different

One birthday. Zero guesswork.

Most people don't throw enough parties to know what a DJ actually costs, or what a bartender needs from you versus what they bring. Vynue makes the planning part easier: compare real prices before you message anyone, see what's included, and keep every booking together instead of juggling five different text threads.

Know the price

No "call for a quote." Pricing shows upfront, before you start a conversation.

Know what's included

Bar setup, sound equipment, hours — the details stay attached to the booking, not buried in a DM.

Keep everyone together

DJ, bartender, photographer and photo booth all live under the same event, with one place to track every booking.

Payment protection

Payments and completion are handled through Vynue rather than Venmo and a handshake.

Birthday party entertainment FAQ

How far in advance should I book birthday party entertainment?

For a weekend date, three to six weeks is usually enough. Popular DJs and photo booths on Friday or Saturday nights book up faster, but a weeknight party has more flexibility.

Do I need a DJ and a bartender, or can one person do both?

They're different skills — book them separately. A DJ running the bar between songs, or a bartender running the music, is rarely a good outcome for either job.

Does the bartender bring the alcohol?

Usually not. You supply alcohol, mixers and ice; they supply the service. Confirm the split before you book so nobody assumes.

What if I just want background music, not a full DJ set?

Say so when you message talent — many DJs offer a lower-key set for smaller gatherings, priced differently from a full party set.

Can the DJ also handle the cake moment?

Often, yes, but confirm it. Some DJs focus purely on music and would rather you book a separate host for toasts and announcements.

What happens if talent cancels?

You're refunded in full regardless of their cancellation policy, and any processing fee is charged to them, not you.

When does talent get paid?

Stripe processes the full booking payment when you book, and talent payment is scheduled after the event, subject to the booking terms and a timely dispute review.
