Who does what at a private party?

A short list covers most private celebrations. Here's what each role actually does, what's usually included, and what to ask before you book.

DJ

Best for: Music, announcements, keeping the night moving

A DJ usually handles more than music at a private celebration — managing transitions, toasts and the pace of the room as it shifts from dinner to dancing.

Often includes

  • Sound for the room
  • MC duties
  • Wireless microphones

Ask about

  • Overtime
  • Lighting
  • Backup equipment

Typical planning range

$600 – $1,600

Live Band

Best for: Live energy for a milestone celebration

A band changes the feel of a room in a way a DJ can't, at the cost of needing more space and power. Configuration moves the price more than hours booked do.

Often includes

  • 2–3 sets
  • Own PA and break music

Ask about

  • Stage and power requirements
  • Who's running sound
  • Meal and break arrangements

Typical planning range

$2,000 – $6,000

Acoustic Duo

Best for: Dinner-hour ambience without taking over the room

A guitarist, vocalist or small ensemble for the part of the night where music should sit under conversation rather than replace it.

Often includes

  • 1–2 hour set
  • Own amplification for small rooms

Ask about

  • Repertoire
  • Gap between sets if paired with a DJ or band

Typical planning range

$400 – $900

MC / Host

Best for: Toasts, timeline, keeping the room together

For celebrations that want a dedicated host running announcements rather than leaving it to the DJ or a family member.

Often includes

  • Toasts and introductions
  • Timeline coordination

Ask about

  • Whether they coordinate directly with your DJ or band

Typical planning range

$400 – $800

Bartender

Best for: Bar service for the night

What you're booking is a person to work your bar — not, in most cases, the alcohol or glassware. Staffing ratio is what determines the line at the bar.

Often includes

  • Service for the booked shift
  • Basic bar tools

Ask about

  • Whether alcohol and glassware are yours to supply
  • Staffing ratio for your guest count

Typical planning range

$250 – $1,000

Browse bartenders

Photographer

Best for: A gallery from the night, not just phone photos

Settle image rights and a delivery date at booking. Two to four weeks is standard for a full edited gallery.

Often includes

  • Event coverage
  • Edited digital gallery
  • Personal-use licence

Ask about

  • Delivery date
  • Commercial usage rights if needed

Typical planning range

$400 – $1,500

Many private parties use a DJ for most of the night and bring in live specialty entertainment for one standout moment.

Private party pricing depends heavily on guest count, location, coverage time and lineup size. These ranges are useful for early planning, but the price shown on a Vynue profile is the better number to use once you're actually comparing providers.

What does private party entertainment cost?

Typical U.S. planning ranges — actual pricing varies by city, season and demand. As Vynue's marketplace grows, this section will reflect live pricing from active listings near you.

Why This Is Different

One celebration. No dress rehearsal.

Milestone celebrations don't come around often enough to know the market. Vynue makes that easier: compare prices before starting a conversation, understand what each booking includes, message talent directly, and manage every booking in one place.

Know the price

No endless "contact for quote" loops. Pricing shows upfront, before you start a conversation.

Know what you're booking

Packages, add-ons and service details stay attached to the booking, not buried in a text thread.

Keep everyone together

DJ, bartender, photographer and event staff can all live under the same event, with one place to track every booking.

Payment protection

Payments and completion are handled through Vynue rather than informal cash or DM arrangements.

Private party entertainment FAQ

How far in advance should I book for a private party?

Six to twelve weeks for a milestone celebration on a weekend gives you the best selection. A smaller gathering can often be booked closer to the date.

Do we need both a DJ and a live band?

No. Many hosts choose one. Others use a DJ for most of the night and bring in live entertainment for a single standout moment.

How many bartenders do we need?

A working rule is one bartender per 50 to 75 guests for a full bar. A cocktail menu made to order needs a tighter ratio than beer and wine only.

Can the DJ also MC the toasts?

Often, yes — but it should be confirmed in the booking rather than assumed, especially if the celebration has a longer program.

What happens if talent cancels?

You're refunded in full regardless of their cancellation policy, and any processing fee is charged to them, not you.

When does talent get paid?

Stripe processes the full booking payment when you book, and talent payment is scheduled after the event, subject to the booking terms and a timely dispute review.
