Who does what at a corporate event?

Here's what each role actually does, what's usually included, and what to ask before you book — including the questions a client event or holiday party specifically raises.

DJ

Best for: Background music through networking, transitions into reception

A corporate DJ reads a very different room from a party DJ — background energy that supports conversation for most of the night, building only when the room is ready for it.

Often includes

  • Sound for the room
  • Wireless microphones
  • Background-to-dancing transition

Ask about

  • Whether they'll MC the program
  • Overtime rates
  • Backup equipment

Typical planning range

$700 – $1,600

MC / Host

Best for: Running the program: intros, awards, keeping things on schedule

For any event with an actual agenda — awards, speeches, a program with a run-of-show — a dedicated host keeps it on time and reads professionally rather than improvised.

Often includes

  • Program hosting
  • Timeline coordination
  • Planning call before the event

Ask about

  • Whether they'll review the run-of-show in advance
  • Coordination with your internal team

Typical planning range

$500 – $1,200

Comedian

Best for: A headline moment for a holiday party or client event

Corporate-clean material matters more here than anywhere else — say so explicitly and describe your audience so material actually fits the room.

Often includes

  • A set, typically 30–45 minutes
  • Corporate-clean material on request

Ask about

  • Confirming a corporate-clean set
  • Whether they'll also MC

Typical planning range

$800 – $5,000

Live Band

Best for: Reception energy for a milestone company event

For an anniversary, a major launch, or a holiday party with a real budget, a live band gives a company event a scale a DJ alone doesn't.

Often includes

  • 2–3 reception sets
  • Own PA and break music

Ask about

  • Stage and power requirements
  • Who's running sound

Typical planning range

$2,500 – $7,000

Browse live bands

Bartender

Best for: Bar service for the reception

Staffing ratio matters more at a corporate event than most — a slow bar reads as poor planning in front of clients and leadership.

Often includes

  • Service for the booked shift
  • Basic bar tools

Ask about

  • Staffing ratio for your guest count
  • Responsible-service certification

Typical planning range

$300 – $1,200

Browse bartenders

Photographer

Best for: Coverage you can actually use — headshots, candids, brand content

Settle commercial usage rights at booking if you intend to use images in marketing or internal comms — standard event coverage often grants personal use only.

Often includes

  • Event coverage
  • Edited digital gallery

Ask about

  • Commercial usage rights
  • Delivery date, not just a window

Typical planning range

$700 – $2,500

Most corporate events use background entertainment through the reception and add one headline moment — often a comedian — rather than choosing only one.

Corporate pricing depends on guest count, program length and whether you're booking background entertainment, a headline act, or both. These ranges are useful for early budgeting, but the price shown on a Vynue profile is the better number once you're actually comparing providers.

Why This Is Different

Your name is on it. It should look like it.

Corporate events run on approvals, invoices and a schedule that can't slip. Vynue makes the vendor side of that easier: compare pricing before you start a conversation, keep the details attached to the booking instead of an inbox thread, and manage every vendor for the same event in one place.

Know the price

No "contact for quote" loop before you can even build a budget. Pricing shows upfront.

Know what you're booking

Scope, hours, add-ons and service details stay attached to the booking, not buried in email.

Keep every vendor together

DJ, comedian, photographer and event staff can all live under the same event, with one place to track every booking.

Payment protection

Payments and completion are handled through Vynue rather than a mix of invoices and informal arrangements.

Corporate event entertainment FAQ

How far in advance should we book corporate entertainment?

Three to eight weeks is typical for most corporate events. Holiday parties are the exception — popular dates in November and December book up months ahead.

How do we make sure a comedian's material is appropriate?

Ask directly for a corporate-clean set and describe your audience. Most comedians maintain a separate clean set for exactly this and will tell you honestly if it isn't their strength.

Do we need a dedicated MC if we have a DJ?

Depends on the program. Many DJs handle light announcements as part of the booking, but a formal agenda with speeches and awards usually benefits from a dedicated host.

Can we get an invoice or receipt for expense reporting?

Yes — every booking through Vynue generates a record you can use for internal documentation.

Can we use event photos in our marketing?

Only if commercial use is agreed at booking. Standard coverage often grants personal or internal use only — say upfront if you intend to use images externally.

What happens if talent cancels?

You're refunded in full regardless of their cancellation policy, and any processing fee is charged to them, not you.

When does talent get paid?

Stripe processes the full booking payment when you book, and talent payment is scheduled after the event, subject to the booking terms and a timely dispute review.
