How far in advance should we book for a grand opening?

Four to eight weeks is typical, though popular DJs, bands and photographers on weekend dates should be booked earlier if possible.

How do we staff for turnout we can't fully predict?

Staff bartenders and hosts toward the higher end of your expected range — an understaffed opening reads far worse than a slightly overstaffed one.

Can we use the event photos and video in marketing?

Only if commercial use is agreed at booking. Say upfront that you intend to use the content externally so it's priced and licensed correctly.

Do we need both a DJ and a live band?

No — most openings choose one. A live band adds scale for a bigger launch budget; a DJ is more flexible for reading a room that fills up gradually.

What happens if talent cancels?

You're refunded in full regardless of their cancellation policy, and any processing fee is charged to them, not you.

When does talent get paid?
