What happens if a card payment is charged back?
How a card chargeback relates to Vynue's own dispute process, and what happens to a partner's payout if a client's charge is reversed by their bank.
Last updated
A chargeback is a dispute you file directly with your bank or card issuer, rather than through Vynue. It's a completely separate process from reporting a problem on a booking, and either can happen independent of the other — filing one doesn't cancel or pause the other.
Vynue may contest a chargeback or payment reversal when we reasonably believe the payment was valid and the booked services were properly provided.
Why this matters even though the money is "held"
Vynue's payment processor treats Vynue as the merchant on every charge, which means a chargeback is debited from Vynue, not from the partner or venue directly. That's just a fact about how card payments are processed — it's separate from, and doesn't automatically decide, how Vynue handles the situation between the client and the partner.
If the chargeback was caused by the partner or venue
If a booking payment is reversed, refunded, charged back, or otherwise recovered from Vynue for reasons attributable to the partner or venue — including fraud, non-performance, material misrepresentation, an unauthorized transaction attributable to them, or breach of the booking terms — Vynue may determine that the partner or venue is responsible for the resulting loss.
When Vynue may hold or recover funds
For a chargeback, payment reversal, or related investigation, Vynue may temporarily hold or offset funds only while the matter is pending and only to the extent reasonably necessary to protect against the potential loss.
Vynue may recover an amount from a partner or venue only where permitted by law, supported by Vynue's payment systems, and reasonably determined to be attributable to that partner or venue. Recovery may come from pending or future payouts, available balances, reserves, reversals of prior transfers, or other amounts otherwise payable to them. If those amounts are insufficient, the partner or venue remains responsible for the unpaid balance, and Vynue may seek repayment through other lawful means. Payment-provider or chargeback fees may be included only when those fees resulted from conduct attributable to the partner or venue.
Before making a final recovery determination, Vynue provides notice of the amount and reason for the proposed recovery and a reasonable opportunity for the partner or venue to provide relevant information or contest it.
If a client files an improper chargeback
If a client disputes a charge for a booking the partner or venue actually performed properly, and the chargeback resulted from client fraud, misuse of the payment dispute process, or another circumstance not attributable to the partner or venue, Vynue does not ordinarily seek reimbursement from them. Vynue ordinarily absorbs the resulting loss and associated payment-provider fees.
If it's unclear
Where responsibility is disputed, shared, or unclear, Vynue reviews the available evidence and reasonably allocates responsibility for the reversed amount and associated fees based on the circumstances — using the same material failure vs. dissatisfaction distinction applied to ordinary disputes.
A partner's or venue's responsibility for an amount properly owed does not end solely because Vynue already released the applicable booking proceeds. Vynue may pursue recovery only while the transaction remains subject to a refund, dispute, reversal, chargeback, payment-provider recovery, or another legally enforceable repayment obligation.
The short version
- Filing a report with Vynue and filing a chargeback with your bank are two different, independent things.
- Vynue is who the bank debits — but that's not the same as who Vynue holds responsible.
- Vynue may contest a chargeback or reversal when the payment was valid and the booked services were properly provided.
- Vynue may temporarily hold funds only while a chargeback, reversal, or related investigation is pending, and provides notice and an opportunity to contest before making a final recovery determination.
- Partners aren't automatically financially punished for a client's fraudulent or improper chargeback when they properly performed; Vynue ordinarily bears that loss and the associated chargeback fees.
- Partners can be held responsible for a chargeback that resulted from their own fraud, no-show, or other failure to perform, including associated fees — even after they've already been paid.
